Charities run on tight budgets and good will. Your technology should stretch both further, not quietly eat into them.
Microsoft offers eligible charities and nonprofits free and heavily discounted Microsoft 365 licences, but the rules changed in 2025, and many organisations are now paying for the wrong plan, missing out on discounts, or running without the security features they used to have for free.
Disking IT helps charities across Surrey, Hampshire and West Sussex get Microsoft 365 right. We check your eligibility, choose the right mix of licences, set everything up securely and support your staff and volunteers day to day. No jargon, no hidden costs, just technology that lets your team focus on the people you serve.
Until July 2025, many charities received Microsoft 365 Business Premium free of charge. That grant has now ended.
Microsoft still gives eligible nonprofits up to 300 free Business Basic licences and discounts of up to 75% on paid plans. The problem is what Business Basic leaves out. There are no desktop Office apps, no Intune device management and no Microsoft Defender for Business.
When the grant ended, a lot of charities simply moved to the free plan to avoid new costs. Many didn’t realise they had also removed the protection that kept laptops managed, data encrypted and threats blocked.

Charities hold some of the most sensitive data there is: donor bank details, beneficiary records, safeguarding information and health data. Criminals know charities often have smaller IT budgets, which makes them a target.

Partly. Eligible charities and nonprofits can get up to 300 Microsoft 365 Business Basic licences free of charge. This includes email, Teams, SharePoint, OneDrive and web versions of the Office apps. Plans with desktop apps and advanced security, such as Business Premium, are no longer free but are available at discounts of up to 75% off commercial pricing.
Yes. From July 2025, Microsoft retired the free Business Premium grant for nonprofits. Organisations that were using it had to either move to the free Business Basic plan or start paying the discounted nonprofit rate for Business Premium at their next renewal.
Your organisation generally needs recognised charitable status, for example registration with the Charity Commission for England and Wales, OSCR or the Charity Commission for Northern Ireland, or HMRC charitable tax status. It must operate on a not for profit basis for public benefit and agree to Microsoft's non discrimination policy. Schools, government bodies and political organisations are not eligible. We can check your eligibility as part of a free review.
Discounted nonprofit licences can be assigned to staff and volunteers. Free granted licences are restricted to paid staff and unpaid executive leadership. Programme participants, members and donors are not eligible for either.
Business Basic covers the essentials: email, Teams, file storage and web apps. Business Premium adds desktop Office apps, Intune device management, Microsoft Defender for Business and advanced data protection. If your staff handle sensitive data such as donor details or safeguarding records, Business Premium is usually the safer choice.
Nonprofit licences are now typically on an annual commitment. Prices may be shown per month, but you commit to a full year, with only a short window to cancel or reduce licences at renewal. That's why getting the right number and mix of licences at the start matters.
Yes. Eligible nonprofits can buy Microsoft 365 Copilot at a 15% discount, alongside a qualifying Microsoft 365 plan. We recommend reviewing your data permissions and security before rolling Copilot out, so it can't surface information people shouldn't see.
Not fully. Microsoft keeps its service running, but deleted or corrupted data is only retained for a limited time. A dedicated Microsoft 365 backup protects your email, files and records against accidental deletion, ransomware and staff departures.
Yes. We're Cyber Essentials Plus certified ourselves, and we can configure Microsoft 365 to meet the scheme's requirements, including mandatory multifactor authentication on all cloud services. Many funders and commissioners now ask for Cyber Essentials as a condition of working with them.
